How to Get a Library Card

Your Library card allows you to check out items from the Library, use the Library's computers, and access the many online resources, including e-books and e-audiobooks, that the Library offers. 

You can get a Library card by visiting the Library with a valid photo ID, such as a drivers license, state ID card, passport, or other government-issued photo ID that has not expired. Note that the Library does not have residency requirements.

Students 17 or older can also use their student ID cards to get a Library card.

Children and teens under the age of 17 must be accompanied by a parent or legal guardian to sign and take responsibility for the use of the card.

Card Expiration

Your card expires after one year and must be updated. You will be notified by email (if our records have that information) that your account is about to expire.

To extend your account for another year, you must verify that the address, phone number and email in the Library's records are current. You can confirm this in person or by phone at 972-625-1900 ext. 2. You can also email Circulation staff at circulation@thecolonypl.org with your Library card ID, name, address, phone number and preferred email.

You can also update the card yourself by logging into the catalog and going to My Account/My Profile. Update your contact information and change the expiration date for another year. Please note that, once your card is expired, you will not be able to log into the catalog to update it.

How to get a Temporary Card

You can obtain a temporary card for 30 days by going to the Library catalog, clicking on the Login button at the upper right and choosing Don't have a Library card?  Once you fill out and submit the application, you will be emailed a temporary Library card number.

The temporary card will allow you to place reserves on items in the Library, and access most of the Library's online resources through the catalog, except for some specific resources such as Gale Courses, Tutor.com and North Texas Libraries on the Go. You must come into the Library with your valid photo ID to change your card to a permanent one.

Bring a valid photo ID to the Circulation Desk to pick up your permanent card or to get a new card. If you have not already registered, you can do so on the Library's computers or ask the Circulation Desk staff for help.

Children under the age of 17 must have a parent or guardian accompany them to the Library and present identification.

Lending Your Card; Lost or Stolen Cards

If you lend out your Library card, that person assumes all privileges associated with the card, such as checking out items, using the Library's computers and any printing money deposited on the card, and changing passwords. You remain responsible for any activity associated with the card, including items checked out.

If your Library card is lost or stolen, please notify the Library at once so we can block its use. Once you have notified us, you are no longer responsible for activity on the card. You can notify us by calling 972-625-1900 ext. 2, by emailing circulation@thecolonypl.org or by visiting the Circulation Desk in person.

Replacement cards are $2 each.

Checkout Limits

You  can check out as many items as you want to be financially responsible for. New cardholders are provided with a schedule of damage/loss fees.

Loan Periods

Most materials may be borrowed for three weeks.

CD-ROM software and some special materials may be borrowed for two months.

The loan period for materials borrowed from other libraries or agencies is set by the loaning agency.

Checkout History

For your privacy, the The Colony Public Library does not keep a record of previously checked out material on your account.  If you would like to keep a history of items you have previously checked out, you must voluntarily opt into this option. To enable the checkout history, log into your library account through the online library catalog. Go to Your transactions from the drop down menu to your account, found in the upper right hand corner of the page, and select Checkout History. Click on Activate History.  The tracking begins the moment you activate and will not provide a history of items checked out before you activated this option. You may opt out at any time.

Reserves

You may place a reserve on any item in the Library, except Reference and Professional copies. If the item is checked out, Library staff will notify you when the item is available.

The Reference Desk staff will place a reserve for you, or you may place a reserve yourself from the Library catalog.  To do so, double click on the item you wish to reserve to get to the full record. Click on the button for "Place Hold".  Log in with your Library card number and password. (The default password is userpass. You will be prompted to change this the first time you log in.) Then just submit the hold request.

Renewals

An item may be renewed if there is not a waiting list. The renewal period is the same as the loan period for the item; the renewal limit is two renewals per item. Requests for renewal may be placed in person, via email at circulation@thecolonypl.org or by phone at 972-625-1900 ext. 2.

You may also renew your items in the catalog by accessing your account online. Log in to the catalog with your Library card number and password . (The default password is userpass. You will be prompted to change this the first time you log in.) Go to your account by clicking on My  Account. When you go into My Items Out you will see links to renew your items.

Fines and fees

The Public Library is a shared resource which depends on the cooperation of its users to maximize the community's investment. The Library staff is dedicated to excellence in customer service and to cost-effective management of the community's resources.

Cardholders who return materials on time assist the Library in the avoidance of postage, material, and personnel costs involved in producing and sending overdue notices.

Cardholders will be notified of overdue items; their cooperation is urged to ensure that the overdue items are returned to the Library's collection for use by other members of the community. The final notice will include an invoice for the fees that will be charged if the materials are not returned.

Cardholders will be charged restitution and processing fees for materials that are lost or that are damaged beyond repair. The Library's schedule of fees is reviewed annually by the staff and Library Board with recommendations for revisions forwarded to the City Council for approval. New cardholders are provided with the list of current fees; a copy of the current list can be obtained at the Circulation Desk.

It is always preferable to recover the overdue materials; many items go out of publication rapidly, making replacement difficult. If a cardholder who has paid restitution fees locates the missing material, returns it in good condition within one year, and presents the receipt for the fees paid, the cardholder may request a refund of the fees paid. If the material has suffered repairable damage, the refund will be reduced by the damage fee.

Other fees charged by the Library include fees for replacement library cards, damage to library materials, postage for return of materials borrowed through Interlibrary Loan, printing from the public access computers, and exam proctoring.
